Subject: AZ SHPO Question on 1998 Archaeology Expo

From: Ann Howard

The Arizona SHPO is seeking input and guidance regarding the setting of
days and dates for the upcoming 1998 Arizona Archaeology Expo to be held at
Deer Valley Rock Art Center (DVRAC) in Phoenix in March of 1998.

Here is the situation:

In order to get the 1998 Archy. Expo advertised/publicized in the Arizona
Office of Tourism's (AOT) Calendar for Sept. 1997 through March 1998, SHPO
needs to get the information to AOT by June 2, 1997 (this coming Monday).
Usually, the dates of upcoming Archy. Fairs/Expos are set by the planning
group that comes together at the Archaeology Awareness Month Kick-off
Planning meeting held in July/August of each year. This has been too late
to get dates of the Fairs/Expos into the AOT calendar (we have always
gotten Archaeology Awareness Month [AAAM] listed in their Calendar, but
never the dates of the Archy. Fair/Expo). The AOT Calendar is used heavily
by the media and it would be very beneficial publicity-wise to announce the
Expo in that calendar, if we can.

Thus, SHPO would like to set the dates for the 1998 Expo, in consultation
with the DVRAC, for March 14-15 (Saturday and Sunday). If the Kick-off
planning group decides that we want to have another classroom program next
year (and this needs to be discussed in some detail at the kick-off
meeting), then Friday, March 13 would be the date to do the school
program. It would need to be a separate program of its own -- the Expo
booths/activities would only occur on Sat. and Sun., as it would probably
be too much to ask Expo participants/volunteers to be there for three whole
days.

Please let me know ASAP (NO LATER THAN 5:00 P.M. ON MAY 29TH--THURSDAY) if
you have concerns with these dates/structure for the 1998 Archy. Expo. We
are sorry to have to make this decision without the benefit of the whole
planning group that meets during the AAAM Kick-off Planning meetings, but
we believe that it is very important to get Expo dates into the AOT
Calendar. I look forward to hearing from you. Thank you very much for
your input on this issue. You can also call me at 602/542-7138, if you
would like to discuss this rather than over e-mail.
